ITS and PTS Warehouse Processes

In Turkey, the Pharmaceutical Track and Trace System (ITS — İlaç Takip Sistemi) and the related notification duties directly affect warehouse operations for medicines and some medical products. (The industry also uses the terms PTS / product tracking.) This guide does not replace the legal text; it clarifies where the WMS meets the warehouse floor. Always rely on official sources and qualified advice for current obligations.

Scope relevant to the warehouse

What matters for ITS/PTS is that the trail of a product — as a unit or within the box/pallet hierarchy — is never broken. At receipt, internal movements, returns and shipping, the warehouse must scan the right barcode / data matrix code and not miss the notification timing.

At receipt

  • Scanning incoming units and matching them against what is expected
  • Capturing lot / expiry / serial or box identity
  • Hold for mismatched labels or unreadable codes

During stock movements

Internal transfers, splitting (opening cases), merging and returns must not break the chain of trace. “In the system, but a different barcode on the floor” creates both stock errors and notification errors. Transfers: location-to-location transfer.

At shipping

The order of pre-shipment scanning and notification (warehouse confirmation first, or ITS first?) should be written into the integration design. Shipping with missing notifications is an operational and compliance risk. Staging and loading

WMS design notes

  • Which barcode level is mandatory for which transaction?
  • Queueing and retries when offline / when the connection drops
  • Error codes that operators can understand
  • Auditable storage of the notification log

Common risks

  • Blind receipt plus later corrections in a spreadsheet
  • Opening cases and distributing sub-units without relabelling
  • Shipping held stock
  • The truck leaving before the ITS response arrives
